Before an offer is presented to customer, it should be approved internally. Enxoo Commerce offers you a wide range of possibilities to customize approval process. In this article, you will get to know how details of quote approval process.

Approval Process Fields

The Quote Approval is done after products are configured and costs are filled on the quote record. This will provide the input data for financial parameters calculation.

Fields that are usually used to define approval processes on Quote are listed in the Financial Analysis section on Quote.

Two key fields that inform you about the current stage of quote approval are:

  1. Approval Level - a field that is set automatically when the approval process is invoked. It is used to determine people that will be designated as quote approvers.

  2. Approval Status - shows the current stage of approval:

    1. Blank - no approval process launched

    2. Pending - waiting for approver's decision

    3. Approved

    4. Rejected

Approval Process Flow

In order to launch approval flow, click Submit for Approval on the quote record. It should do the following:

  • Set Approval Level based on rules defined in the environment

  • If the approval level is not set to AUTOMATIC, approval status should be changed to Pending and approvers should be visible in the Approval History list

Approvers will get the notification and will be able to approve or reject quotes. They will usually look at whether the quote was properly configured and financial parameters are satisfactory.

If the quote is approved, the Approval Level is set to Approved and the sales process may be continued.

If the quote is rejected, it can be modified and submitted for approval again.
